1. Definitions
- “MHL,” “we,” “us,” or “our”
- Modern Hockey League, operator of the website at modernhockeyleague.com and related league systems, including the MHL-Bot.
- “You” or “User”
- Any individual who accesses the Site, registers for league participation, interacts with MHL through Discord, or otherwise provides Personal Information to MHL.
- “Personal Information”
- Information about an identifiable individual, as defined under applicable privacy laws, including but not limited to identifiers, account data, gameplay data, communications, and online activity data.
- “Site”
- The website hosted at modernhockeyleague.com and its subpages.
- “Services”
- The Site, league administration tools, the MHL-Bot, roster and stats systems, and related league operations conducted through Discord or affiliated channels.
- “Process” or “Processing”
- Any operation performed on Personal Information, including collection, use, disclosure, storage, correction, or deletion.
2. Scope and Controller
This Privacy Policy governs the Processing of Personal Information by Modern Hockey League in connection with the Services. By accessing the Site or participating in MHL, you acknowledge that you have read this Privacy Policy. If you do not agree, you must not use the Services.
For purposes of applicable data protection laws, Modern Hockey League acts as the organization responsible for determining the purposes and means of Processing described herein, except where a third-party platform (such as Discord or Electronic Arts) independently determines Processing on its own properties.
This Policy does not apply to third-party websites, applications, or services that we do not control. Your use of Discord, Xbox Network, PlayStation Network, EA services, and similar platforms is governed by those providers’ respective policies.
3. Information We Collect
We may collect the following categories of Personal Information, depending on how you interact with MHL:
- Identifiers and account information, including Discord username and user ID, email address (if provided), gamer tag or online ID, platform (Xbox or PlayStation), team affiliation, role (player, manager, staff), and authentication tokens where login is enabled.
- League and gameplay information, including availability submissions, lineups, roster status, ECU assignments, match results, statistics, standings, waiver activity, discipline records, and proof materials you submit (screenshots, clips, or links).
- Communications, including messages to MHL Staff, complaint filings, bug reports, and correspondence in official MHL Discord channels where league business is conducted.
- Technical and usage data, including IP address, browser type, device information, pages viewed, timestamps, referral URLs, server logs, and cookie or local storage data as described in our Cookie Policy.
- Payment or supporter information, if and when you make voluntary payments through a third-party processor; we do not store full payment card numbers on our servers.
We do not knowingly collect sensitive categories of Personal Information (such as government ID numbers, precise geolocation for tracking purposes, or health data) unless you voluntarily provide such information in a complaint or support request, in which case we will Process it only as necessary to address that matter.
4. Purposes and Legal Bases
We Process Personal Information for the following purposes:
- Operating the league, including scheduling, rosters, stats, standings, waivers, and playoffs;
- Authenticating users and maintaining account security;
- Enforcing MHL rulebooks, including discipline and complaint procedures;
- Communicating with players, managers, and staff regarding league business;
- Improving the Site, bot, and website systems during the Season 1 pilot;
- Complying with legal obligations and responding to lawful requests;
- Protecting the rights, safety, and integrity of MHL, its members, and third parties.
Where required by applicable law, our legal bases include:
- Performance of a contract — Processing necessary to administer your league participation;
- Legitimate interests — Operating, securing, and improving the Services, and enforcing league rules, balanced against your rights;
- Consent — Where required for non-essential cookies, marketing communications, or optional features;
- Legal obligation — Where Processing is required by applicable law.
MHL does not sell Personal Information for monetary consideration. MHL does not share Personal Information for cross-context behavioral advertising unless expressly disclosed and permitted by applicable law with appropriate opt-out rights.
6. Retention
We retain Personal Information only for as long as reasonably necessary to fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law. Factors include the duration of your participation, statutory limitations, dispute resolution needs, and archival requirements for league records.
When Personal Information is no longer required, we will delete, anonymize, or aggregate it in accordance with our internal retention practices, subject to technical limitations of backup systems.
7. Security
We implement reasonable administrative, technical, and organizational safeguards designed to protect Personal Information against unauthorized access, loss, misuse, alteration, or disclosure. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
You are responsible for safeguarding your Discord account, platform accounts, and any credentials used to access the Services. Notify us promptly at privacy@modernhockeyleague.com if you believe your account has been compromised.
8. Children
The Services are not directed to children under thirteen (13) years of age. We do not knowingly collect Personal Information from children under 13. If you believe we have collected such information, contact privacy@modernhockeyleague.com and we will take steps to delete it.
Participation in MHL may require compliance with Discord’s minimum age requirements and platform terms, which may be higher in certain jurisdictions. Parents or guardians are responsible for supervising minors’ use.
9. Regional Supplement — Canada
This Supplement applies to individuals in Canada and is intended to address requirements under the Personal Information Protection and Electronic Documents Act (PIPEDA) and substantially similar provincial privacy laws, including Quebec’s Act respecting the protection of personal information in the private sector (Law 25) where applicable.
9.1 Accountability
Modern Hockey League is accountable for Personal Information under its control. We designate internal responsibility for compliance and may be reached at privacy@modernhockeyleague.com.
9.2 Consent
We collect, use, and disclose Personal Information with your knowledge and consent, except where permitted or required by law. You may withdraw consent subject to legal or contractual restrictions; withdrawal may limit your ability to participate in MHL.
9.3 Your rights
Subject to applicable law, you may request:
- Access to Personal Information we hold about you;
- Correction of inaccurate or incomplete information;
- Information about our policies and practices regarding third-party service providers;
- Challenge our compliance by contacting us, and thereafter the Office of the Privacy Commissioner of Canada if unresolved.
Quebec residents may have additional rights, including data portability and certain restrictions on automated decision-making, as prescribed by Law 25. Contact us to exercise applicable rights.
9.4 Complaints

10. Regional Supplement — United States
This Supplement applies to residents of the United States and describes rights available under state comprehensive privacy laws, including the California Consumer Privacy Act as amended by the CPRA (CCPA/CPRA), the Virginia Consumer Data Protection Act, the Colorado Privacy Act, the Connecticut Data Privacy Act, the Utah Consumer Privacy Act, and other enacted state laws.
10.1 Categories and disclosures
In the preceding twelve (12) months, MHL has collected the categories of Personal Information described in Section 3 for the business purposes in Section 4. We disclose categories to service providers and league participants as described in Section 5. MHL does not sell Personal Information and does not share Personal Information for cross-context behavioral advertising.
10.2 Your rights
Depending on your state of residence, you may have the right to:
- Know what Personal Information we collect, use, disclose, and retain;
- Access and obtain a copy of certain Personal Information;
- Delete Personal Information, subject to exceptions;
- Correct inaccurate Personal Information;
- Opt out of sale or sharing (not applicable while MHL does not engage in such activities);
- Limit use of sensitive Personal Information (where applicable);
- Not receive discriminatory treatment for exercising privacy rights.
10.3 Exercising rights
Submit verifiable requests to privacy@modernhockeyleague.com. We will respond within the timeframe required by applicable law. Authorized agents may submit requests with proof of authorization as required by law.
10.4 California shine the light
California residents may request information about disclosures to third parties for their direct marketing purposes, if any; MHL does not currently engage in such disclosures.
11. Regional Supplement — International (EEA, UK, Switzerland, and Elsewhere)
If you are located in the European Economic Area, the United Kingdom, Switzerland, or another jurisdiction with data protection laws substantially similar to the GDPR, the following additional terms apply to the extent required by local law.
11.1 Lawful bases
We rely on contract performance, legitimate interests, legal obligation, and consent (where required) as described in Section 4.
11.2 Data subject rights
Subject to limitations in applicable law, you may have the right to:
- Access, rectify, or erase Personal Information;
- Restrict or object to certain Processing;
- Data portability for information Processed by automated means based on consent or contract;
- Withdraw consent at any time, without affecting the lawfulness of Processing before withdrawal;
- Lodge a complaint with a supervisory authority in your country of habitual residence or place of work.
11.3 International transfers
Personal Information may be transferred to and Processed in Canada, the United States, or other countries where our service providers operate. Where required, we implement appropriate safeguards such as standard contractual clauses or equivalent mechanisms.

12. Changes to This Policy
We may amend this Privacy Policy at any time. Material changes will be posted on the Site with an updated “Last updated” date. Continued use of the Services after the effective date constitutes acceptance of the revised Policy, except where prohibited by law.
